The Decision

Since the business began over 15 years ago, in 2002, Logical Staffing Solutions have used FastTrack recruitment software to manage all their recruitment processes. In January 2018, triggered by the ATO’s mandatory Single Touch Payroll reporting legislation, Logical Staffing Solutions explored their options. In June 2018, they were live on the end-to-end FastTrack360 recruit, time, pay, bill cloud software.

“The on-premise version of FastTrack worked really well, so it was just a natural progression to upgrade to the cloud-hosted FastTrack360”, says Rachel Kelly, Finance Director. “We decided to go with what we knew worked”.

The Implementation Project

Rachel emphasized two factors that played a key role in their successful transition in such a short period of time.

  1. The business heavily relied upon the Professional Services team having extensive experience implementing for recruitment agencies and FastTrack360 being well established in the industry
  2. Logical Staffing Solutions also invested in key staff who worked on the project to give themselves the best chance of success with the project and upskill new and existing employees

“As long as management supports not only the investment in the product but also the investment in the people skills behind installing the product, then it’s going to be successful and relatively straight forward project” says Rachel.

The Results

“Plus, we’ve cut out half a day’s work with FastTrack360”

Previously timesheets were managed manually – Consultants reviewed and emailed to payroll who printed and matched to invoices, then scanned and sent to clients.

Now Consultants review timesheets, share with payroll using an internal process to indicate then they have been interpreted and processed. With more savings possible using the in-built FastTrack360 mobile timesheets not yet realized.

“The new process works so we’re not doubling up,” says Rachel. “If one of us jumps in, we know where we are at.”

In addition, instead of having to receive and manually save and input resumes from job adverts to their server, FastTrack360 automatically parses resumes and saves this into their cloud-hosted recruitment database.

“It’s saved our consultants time and improved productivity”

Lastly, Logical Staffing Solutions has also seen debtor days significantly improve by having better accounting transparency with FastTrack360 and their MYOB accounting software.

“We’re getting paid better by business debtors. Debtors exceeding 30-day terms is now down to 10-15% which is pretty good”.

What’s to come

Recently Logical Staffing Solutions opened a new office in Brisbane, with another to open in Queensland in the coming months.

Expanding interstate for the first time, the business is looking forward to maximizing their efficiency of managing the entire recruitment process on one cloud system across multiple states.

“It’s all online, meaning everyone can log in. If we have a problem down here, it doesn’t mean they’ll have a problem up there. Previously if we had an issue with our server, everyone would have an issue. The cloud solves that for us”
